Junior Team Assistant required to support a small & friendly Hedge Fund team based near Borough Market. Our offices overlook the River Thames with a roof terrace which is often used for social company events! If you have a can-do and positive attitude with an interest in getting a foot in the door into this industry, apply within!

Key Responsibilities/Accountabilities:

The position will involve the following areas of responsibility:

  • Meeting and greeting visitors; offering beverages, ensuring each individual is registered through the reception booking system, informing staff when their guests have arrived
  • Setting out rooms in advance of meetings; providing lunch/refreshments on request, clearing rooms where necessary and replenishing water & glasses when required
  • Answering the main reception line; screening calls and taking detailed messages
  • Managing incoming and outgoing time-sensitive mail and arranging couriers
  • Administrative adhoc; printing, scanning & photocopying, filing & archiving, setting up audio-visual equipment, updating presentations, arranging daily room schedules etc.
  • Maintaining stock levels of office stationery, printer paper, toners etc
  • Placing orders for the twice-weekly grocery shop, coffee for staff & guests, and visiting Borough Market for fruit and veg whilst keeping within budget
  • Assisting with organising company events; Christmas party, team-building activities and team lunches
  • Point of contact for our cleaning contractor and waste/recycling company; arrange recycling & confidential waste collections
  • Providing adhoc assistance to the CTO; managing IT helpdesk ticketing system, general printer/scanner maintenance when required
  • Providing adhoc assistance to the Finance Controller; processing expenses and invoicing
  • Supporting the Team Assistant with diary management for the CEO; arranging taxis, booking restaurants and compiling travel itineraries
  • Providing cover for the Team Assistant during annual leave and sickness

Skills and Attributes Required:

Excellent communication and organisational skills
Demonstrate a can-do attitude and willingness to take on new tasks
Flexible and able to prioritise a changing to-do list
Detail orientated and accurate
Ability to work well both independently and as part of a team
Proficient with using a computer, in particular Word, Excel & Microsoft Office
Good time-management skills
