They are seeking an experienced Office Manager & Executive Assistant to support senior leadership while overseeing the day-to-day operations of their Hong Kong office.
This is a highly visible position that combines executive support, office management, vendor coordination, and employee engagement responsibilities. The successful candidate will play a key role in ensuring the smooth running of the office while acting as a trusted partner to senior stakeholders.
Key Responsibilities
Executive Assistant Support
- Provide proactive and confidential support to senior executives.
- Manage complex calendars, meetings, and international travel arrangements.
- Coordinate board meetings, investor meetings, and internal leadership meetings.
- Prepare presentations, meeting materials, reports, and correspondence.
- Handle expenses, invoices, and administrative documentation.
- Act as a key liaison between internal teams and external stakeholders.
Office Management
- Oversee the daily operations of the Hong Kong office and ensure a professional working environment.
- Manage office budgets, vendor relationships, service providers, and contract renewals.
- Coordinate office maintenance, facilities management, and workplace initiatives.
- Ensure compliance with local regulatory, licensing, and corporate governance requirements.
- Manage office supplies, insurance policies, and business continuity procedures.
- Support office relocations, renovations, and space planning projects when required.
Events & Employee Engagement
- Organise corporate events, town halls, leadership visits, offsites, and employee engagement activities.
- Coordinate client events and hospitality arrangements.
- Partner with regional and global teams on workplace and culture initiatives.
Requirements
- Bachelor's degree or equivalent.
- 3+ years of experience in Executive Assistant, Office Manager, Administration Manager, or similar roles.
- Prior experience within asset management, hedge funds, private equity, family offices, investment banking, or financial services preferred.
- Demonstrated experience supporting senior executives or C-suite stakeholders.
- Strong organisational and project management skills with excellent attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Professional, discreet, and highly service-oriented approach.
- Excellent communication skills in English. Cantonese and Mandarin would be advantageous.
- Advanced proficiency in Microsoft Office.
